Why Tables Fall Apart When You Paste Them into Excel
A table in a PDF looks like a grid, but the file does not store rows or columns. It only stores instructions like "draw this text at this position on the page". So when you select a table in a PDF viewer and paste it into Excel, a whole row often ends up in a single cell, or the columns shift.
To move a table into Excel cleanly, something has to work out where the row and column boundaries are from the text positions and sort the text into cells. This is called table extraction. The methods below differ in who does that work and where.
4 Ways to Extract Tables from a PDF
| Method | Best for | Watch out for |
|---|---|---|
| 1. Copy and paste | Small tables with a few rows | Columns shift easily; you will need Text to Columns to fix them |
| 2. Excel Get Data > From PDF | You have Excel for Windows (for example Microsoft 365) | Not available in Excel for Mac or on phones. Cannot read scanned PDFs |
| 3. Open the PDF in Word and copy the table | You have Word and the table is simple | Complex layouts can break the table |
| 4. PDF to Excel converter | Many pages, several tables, or no Excel for Windows | With a cloud converter, the file is sent to a conversion service |
Method 2: Import a Table with Excel's From PDF (Windows)
- Open Excel and go to the Data tab > Get Data > From File > From PDF.
- Pick the PDF. The Navigator lists the tables it found (Table001 and so on) and each page.
- Select the table you want and click Load. It is added to the sheet as a table.
Method 4: Convert a PDF Table to Excel with Allin PDF
- Open the tool — Open the PDF to Excel converter and sign in with your Google account.
- Choose your PDF — Select the PDF you want to convert (up to 5MB on the free plan).
- Convert — The file is converted in the cloud by Adobe PDF Services, which creates an .xlsx file with the table rows and columns laid out on worksheets.
- Download and check — Open it in Excel or Google Sheets and check totals and number formats.
Text PDFs vs Scanned PDFs
If you can drag to select individual words in the PDF, it is a text PDF (exported from Word, Excel or accounting software). If the whole page selects as one image, it is a scanned PDF.
| Factor | Text PDF | Scanned or photographed PDF |
|---|---|---|
| Character accuracy | Uses the original text data, so typos are rare | Needs text recognition (OCR). 0 and O, 1 and l, or 5 and S can get mixed up |
| Table structure | Easy to detect from borders and column positions | Skew and shadows make rows and columns harder to detect |
| Recommended method | Method 2 or 4 | Method 4, and always check the numbers against the original |
Tips for Cleaner Table Extraction
- Keep only the pages with tables — Use Split PDF first to pull out just the table pages. Conversion is faster and you get fewer unneeded sheets.
- Scan at around 300 dpi, and keep it straight — Low resolution or a tilt of just a few degrees can throw off row and column detection.
- Check merged cells and tables that span pages — Headers may repeat, or cells may be split differently from the original.
- Fix numbers stored as text — If cells show a small green triangle in the corner, select them and use Convert to Number. Also check thousands separators and decimal points.
- Check the totals — For invoices and statements, make sure the totals in Excel match the original document.
FAQ
Is it free?
Allin PDF's PDF to Excel converter can be used once a day with a free account. Pro allows up to 200 conversions a day and files up to 30MB.
Can I convert a password-protected PDF?
If the PDF needs a password to open, remove it first with Unlock PDF and then convert it. You need to know the current password.
Can I get a CSV file?
The converter outputs Excel format (.xlsx). If you need CSV, open the file in Excel, choose Save As and pick CSV.
What if I only need the text, not the tables?
Use PDF to Word for regular text, or OCR to pull text out of images and scans.
